Sales Support Specialist – Canton, OH

The Sales Support Specialist will manage the day to day of the office environment along with supporting the East Coast Sales Team, General Manager and COO with a variety of tasks.

Duties and Responsibilities:

  • Maintain an organized and accessible file system for administrative and sales professionals
  • Handle all office administrative duties
  • Follow up with clients on the telephone & email for administrative purposes
  • Provide administrative assistance to executives and management team members as required
    • Provide division support for Accountants
    • Includes filling out customer Safety Forms and answering questions on customer pre-qualification forms
    • Provide forms to new customers and to customers annually such as Order Certificates of Insurance, BWC Certs, and etc
    • Read through customer contracts looking for red flag issues
    • Enter quotes when we are required to submit via customers’ websites
    • Register Sales Team with customers who provide online portals for new contractors
  • Perform data entry duties and know how to build and program excel databases with sales figures, metrics and other key data
  • Create and process sales orders & purchase orders in a timely fashion
    • Work with Operations to prepare billings, send to accounting to be invoiced
  • Report unusual activity to supervisors
  • Expedite requests for rush orders and alter sales orders and shipping data as needed
  • Review/edit and approve timecards in ADP
  • Assist with credit/collections- responsible for collecting for Canton and Wilson locations.
  • Knowledge of CRM system
  • Review direct labor costs
    • Responsible for the Monthly Open Job – auditing each job to make sure all costs are in.
      • Which includes reviewing for each job: the costings, quote, PO, job order log, expense reports, invoices from vendors such as outside services, hotels and fuel delivery and Call vendors to gather any outstanding invoices for the month
      • Compare what has been received and what is to come with the figures on the Open Job report sent by the accountant.
      • Make the decision to either Close the job or keep it Open for more costs to come in
      • Review your decisions with GM & Operations – then submit to accounting
    • Coordinate day to day office and facility needs
    • Coordinate space and office organization
    • Purchase and manage supplies and equipment
    • Coordinate office and/or departmental operations
    • Review, track and prepare budgets; maintain records and databases
      • Sales Team’s e-folders of RFQs, quotes and jobs, and hard copies of job folders.
      • Tracking the Weekly Forecast
    • Greet visitors and callers, route and resolve information requests
    • Other duties and projects as assigned
      • Prepare shipments and ship UPS & FED EX
      • Ship Freight items
      • Pick up the mail each day & distribute
      • Receive vendor invoices via emails and snail-mail, seek managerial approval for the charge, send to accounting, file with appropriate job or vendor file
      • Receive employee expenses/receipts via hand-ins or email – review, ask employees to fix any problems or lack of receipts, seek managerial approval, send to accounting, file with the appropriate job
      • Receive Wright Fuel Card expenses…etc.
      • Log the vehicles’ Mileage/fuel reports for IFTA and submit quarterly
      • Prepare the Corporate Lodging Log for all hotel stays weekly – add job numbers – send to Accounting for payment
      • Track all credit card charges on Don Smith’s credit card – logon an expense report and add job numbers
      • Provide administrative support to Safety Manager
      • Schedule drug testing

Qualifications – Education and Experience:

  • High school diploma/GED required
  • Associate Degree in Business or related field preferred
  • Clerical experience in a high-volume office highly desired
  • Ability to multitask and switch focus quickly
  • Proficient with common computer programs, including Microsoft Office
  • Excellent 10-key and typing accuracy
  • Have patience with others
  • Multitasking
